About the Position

The Director of Purchasing is responsible for directing the Purchasing department; overseeing procurement of all materials, services, and equipment required for successful resort operation; and obtaining competitive bids on all goods and services submitted on approved purchase requisitions. U.S. work authorization is required for this position.

Responsibilities – Including but not limited to:

·Ensure all local and corporate policies, rules, internal controls and procedures, and safeguards relating to the Purchasing Department are complied with.

·Must be able to perform all duties usually performed by Storeroom Clerks, Receiving clerks, and sit in the role of a purchasing Manager if needed.

·Supervise/work with All purchasing Team Members to ensure that all incoming merchandise is dated, priced, and rotated in all circumstances.

·Help in the Bidding and sourcing of products and services( source vendors for non-food items and services). 

·Assist with the Preferred Vendor process: Vendors should be vetted by Purchasing for viability based on criteria such as cost, selection, quality, reliability, financial stability, customer references, and reputation. 

·Carry out Vendor Reviews annually: 

·Maintain proper labeling of all storeroom items to facilitate re-ordering and rotating stocks.

·Work with Storeroom Clerks to ensure that all requisitions are filled on a timely basis per storeroom hours and outlet requests.

·Extend all requisitions daily and update the computerized inventory system.

· Work closely with Receiving to ensure a smooth exchange from Receiving to Storage

·Monitor and take inventory regularly for produce, dairy, bread, or on specific days for meat to compile orders based on par levels or needs.

·Reduce spoilage levels and systemize stock rotation by ensuring first in, first out.

·Issue a slow-moving stock list at least once a month.

·Be responsible for stores' keys through security to safeguard against unauthorized personnel gaining entry.

·Ensure cleanliness of all areas, keeping food storage areas in strict compliance with hygiene regulations.

·Maintain perpetual inventory records for all liquor and wine every day.

·Follow up on documentation of after-hours issues, ensuring it follows established internal controls and procedures.

·Participate in daily, weekly, month-end, quarterly and annual inventories for food, beverage, groceries, sundries, and operating equipment as required.

·Complete food, beverage, groceries, sundries, and non-food stock replenishment as required and raise Purchase Orders for the Director of Purchasing approval.

·Ensure loading dock and receiving areas are kept secure, clean, and organized.

·Assist the Accounts Payable Clerk in researching cost discrepancies.

·Perform any additional duties as assigned by the Director of Finance/Assistant Director of Finance or Director of Purchasing. 

·Assist the Purchasing Manager and Director of Purchasing conducted transparently, and conflicts of interest are to be avoided. 

·Make sure Vendor confidential information such as pricing, sourcing, and product offerings should not be disclosed to third parties, including other vendors, without prior written consent from the vendor. Such information can be provided to hotel owners upon request.

·Report Any conflicts of interests or vendor gifts/hospitality received exceeding above IC  level  in writing to the Director of Finance and the Director of People & Culture immediately

·Manage increasing procurement demands of inventory/supplies for Operation activities.

·Review requisitions and POs, obtain quotations, negotiate prices, examine bids, and award contracts.

·Help with large projects by creating Po's, cost negotiation, and bid analysis on specifications and budget cost. Assist in the yearly budgeting process.

Preferred Qualifications and Skills

  • A minimum of three to five years of experience in hotel purchasing is preferred along with a college Degree, however, not essential with relevant experience.

  • Highest level of integrity and transparency.

  • Excellent communication skills and an innovative mindset.

  • Strong problem-solving, decision-making, conflict-resolution, negotiating and strategic-thinking skills.

  • Strong negotiation abilities and general knowledge of accounting principles.

  • Ability to motivate and lead a team of professionals.

  • Strong interpersonal and relationship-building skills to work with cross-functional teams
