We are looking for individuals who possess

Key Functions

  • Highly motivated to assume responsibility for the execution of the Reservations & Communication Department’s policies and procedures and manage the daily operation. Understand the guest needs.
  • Train and be constantly involved in the development of the reservation staff. Assist the Reservation Manager in the preparation of reports including cancellations, no shows, sources of reservation.
  • Assist in statistical reports with compilation of figures for forecast analysis. Maintain reservation standards and conduct standard testing including call observations.
  • Take effective measures to handle pressure and stress.
  • Prioritize work in a busy environment.
  • Enforce the established room and rate availability guidelines in order to maximize revenue and occupancy.
  • Monitor the PMS system, Opera and ensure that the system is clear of multiple profiles and duplicate data.
  • Ensure the FTCRS reports are done daily as per desired standards. Overlook the trace management in the department and ensure there is constant follow up and all loops are closed.
  • Work closely with the Sales department in handling group bookings, maintaining files, tracing cut off dates, following up on special instructions etc.
  • Monitor the no show and late cancellation collection with Accounting.
  • Ensure that all reservation confirmations printed out and mailed within 24 hours from receipt.
  • Ensure that all reservations staff are familiar with all guest rooms, selling techniques, hotel facilities, services, hours of operation, key personnel, special activities, functions in the hotel and to ensure proper follow up on all special requests.
  • Conduct follow up training sessions and provide timely feedback to the team. Prepare the weekly schedules and review the calendars. Attend Morning briefing.
  • Handle guest complaints keeping senior management well informed of any problems and action taken.
  • Create and maintain individual rate codes for each negotiated account as established by the Sales department.
  • Maintain favorable working relationship among employees to promote maximum morale, productivity and efficiency.
  • Understand the tasks performed by PBX operator, reservation agent, concierge, and housekeeper.
  • Assume the duties of the Reservation Manager in her absence. Respond properly in any hotel emergency or safety situation.
  • Perform other tasks or projects as assigned by the hotel management and staff.
  • Keep all Department Heads well informed of any unexpected changes in level of business in the absence of the Reservations Manager.
  • Monitor commission payments with the Accounting department.
  • Attend to evaluations of agents and give feedbacks and enter all data to the system.
  • Carry out any other duties as requested by the Director of Reservations and Revenue Management or Division Head within the overall scope of position and to assist in Reception.
  • Prepare incentive sheet monthly.
