JOB SUMMARY

 

What we’re looking for:

 

  • The Santa Ynez Valley Marriott is seeking for a well-rounded, skilled, and experienced Conference Services Manager. This role would be responsible for proactively, coordinating, managing, and executing all details for Groups and Events as assigned.
     
  • Actively up-sells each business opportunity to maximize revenue opportunity. Responsible for the BEO process for all segments of banquet and catering events, as assigned.
     
  • Ensures business Event Orders are detailed properly and in a timely fashion for proper service delivery (10) business days before arrival. Responsible for completing Group Resumes for events and proper service delivery (10) days business days before arrival. Responsible for driving customer/guest loyalty by delivering service excellence throughout each customer/guest experiences.

     
  • Participate in negotiating food and beverage, audio visual and room rental, for meetings and events. Finalize billing within 3 days of group departure. Finalize Marriott Bonvoy Rewarding Event Points within 14 days of Group actualization. Achieves Sales Teams Group, Banquet/Catering revenue goals and budget. Responsible for attending all related Event Order, Group Resume, and Billing meetings as required.


 

Specific Job Duties:

 

  • Handles all aspects of on-site group/event details/services.
  • Partners with banquets and sales managers to effectively manage the business opportunity.
  • Responds to incoming calls within 2-4 hours and written communication within 24 hours.
  • Identifies, qualifies business to achieve team banquet/catering revenue goals and budget.
  • Focuses on upselling to all groups with significant potential sales revenue.
  • Develops effective Conference Services quarterly action plans to increase sales and overall customer experience.
  • Anticipate guests’ needs by developing and selling creative group events.
  • Prepares and conducts memorable site tours and planning sessions for customers. Administering Site Alerts and instructions/information to departments as needed.
  • Understands the overall market – competitors’ strengths and weaknesses, economic trends, supply and demand and knows how to sell against them.
  • From initiation and formulation through execution and post-con, CSM creates edits, details, briefs and follows through with complete EO process as prescribed per event by our hotel, brand and HHG standards. CSM is the BEO ‘champion’ for the property.
  • Create diagrams using hotel diagramming tool for each event and distribute to banquets team.
  • Uses negotiating skills and creative selling abilities to increase future group and event business revenue. Assigns proper inquiry to appropriate sales manager to negotiate new business and/or amendments for contracts. Builds and strengthens relationships with existing and new customers to enable future bookings.
  • Activities include sales calls, entertainment, trade shows when needed.
  • Develops relationships within community to strengthen and expand local customer sales opportunities.
  • Provides excellent customer service in order to grow share of the account.
  • Executes exemplary customer service to drive customer satisfaction and loyalty by assisting the customer and ensuring their satisfaction before and during their program/event.
  • Serves the customer by understanding their needs and recommending the appropriate features and services that best meet their needs and exceed their expectations.
  • Assign Marriott Bonvoy Points at close of event.
  • Close out final billing of assigned groups.
  • Assist with taking leads and providing tours for walk-in guests as needed.
  • Provide evening and weekend coverage as needed for events.
  • Assists with the completion of all reports, as assigned.
  • Copy Director of Sales or Sales Managers on correspondence sent to clients as requested.
  • Assists with timely distribution of EO, Resume, and Site Alert forms, as required.
  • Assists with incoming telephone correspondence, as required.
  • Know and understand Marriott Standards, set example for others.
  • Report all discrepancies in procedures to management.
  • Attend department and company meetings as scheduled.
  • Review contracts, cost estimates, event orders, deposit schedule, and event checks in detail to insure data entry accuracy to systems.


 

JOB REQUIREMENTS

Education:

High school or equivalent (Preferred)

Experience:

Catering/Conference Management: 3 years (Preferred)
