POSITION OVERVIEW

This exciting new role supports the Chief Financial Officer and Chief Investment Officer in handling a wide range of administrative and executive support-related tasks. The ideal candidate will be a highly resourceful team-player, who is comfortable working in a fast-paced environment, sometimes under pressure, while remaining flexible, proactive, and efficient.

 

The person will have the opportunity of great exposure to the top management of an outstanding luxury brand. The ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities are key characteristics for this role.

RESPONSIBILITIES

  • Managing an active calendar of appointments; composing and preparing correspondence that is sometimes confidential; updating Outlook contacts
  • Driving a variety of projects assigned by the CFO and CIO
  • Arranging travel plans, itineraries and agendas for the CFO and CIO including relevant approval forms and completing expense reports
  • Anticipating the CFO and CIO’s needs and proactively bringing together appropriate people and resources to support the team
  • Representing the executives by welcoming visitors, arranging company dinners and other corporate functions; answering questions and meeting requests
  • Assisting in coordinating the agenda of senior management team meetings and off-sites, and all leadership meetings
  • Managing external contacts; proactively understanding who they are, who the primary contacts are, and keeping track of periodic communication
  • Completing administrative tasks such as printing, reviewing outside mail, handling invoices, scanning and filing documents, and maintaining executive files

QUALIFICATIONS

  • Previous personal assistant or executive assistant experience at senior level is a must
  • Background from finance, investment, or real estate preferred
  • Degree in Business Studies, Hospitality Management or related field
  • Strong organizational skills
  • Able to handle a multitude of tasks in an intense, ever-changing environment
  • Excellent communication skills, both written and verbal
  • Proficient MS Office use
  • Must possess outstanding guest service skills, professional presentation and sophisticated interpersonal skills, be sensitive to cultural nuance
  • Have the right to work in the US
