The Role of the Butler

The Butler will be the main point of contact for the guest(s) while in-house. The Butler can greatly enhance the personalization of the guest experience by streamlining all points of contact for the guest. The Butler coordinates between all other departments - Room Service, Housekeeping, Laundry/Valet, Concierge, Catering, Guest Services, etc. to create a seamless experience for the guest. A guest with butler service should never be disturbed unnecessarily by another department as the butler should inform other departments of the guest's movements and preferences.

The Butler must be able to accommodate any reasonable guest request either personally or through communicating with the relevant departments and show a keen awareness to the guest needs. Butlers should get to know the guest preferences and be able to anticipate their needs without being "intrusive".

Key Functions

  • Prior to the guest arrival the Butler must familiarize themselves with their guests, ensuring they know their names of the principal and family members, any pre-booked dining or activity reservations, any special dietary requirements or specifically requested items that the guests may need during their stay

  • During the guest stay review traces and notes for the day and coordinate the various team members in order to meet the guest expectations. Use this opportunity to add a special touch where appropriate

  • The butler should introduce themselves and let the guest know that they will be available to help them throughout their stay. Butler should then provide a full orientation to the unit and facilities

  • Unpacking services should be offered upon arrival. If the guest is not supervising the unpacking service, the butler must use their best judgement to place items appropriately. All clothing should either be hung neatly in the closet or folded neatly in drawers. Care should be taken to keep guest clothing together i.e. keep husband's clothing in one closet and wife's in the other. If guest toiletries are placed in a bag, the bag should be placed on the bathroom vanity with the contents inside (unless otherwise instructed by the guest). Computer bags or personal hand-carry bags should NOT be unpacked (unless otherwise instructed by the guest)

  • Packing services should be offered in advance (day before departure at the latest) to allow the butler time to prepare and communicate with the guest. All bags must be packed a minimum of one hour prior to the guest departure time to allow for luggage collection by Bellmen and to ensure the guest is not left waiting to depart. If there happens to be any fragile items, the butler should communicate with the guest for any specific packing instructions. In some cases, professional shipping services (through the Concierge) may be recommended

  • The butler must maintain the guest wardrobe and room to ensure that they are neat and tidy at all times

  • Butlers must have thorough knowledge of the property, hotel/resort services offered and local attractions so as to be able to answer basic questions when asked and proactively offer assistance with making reservations as required.  However, the butler should act only as a liaison between the guest and the concierge to assist in restaurant bookings, transportation, sightseeing tours, etc., but not handle the request directly 

  • The butler must be able to perform all Housekeeping duties (as a room attendant would) for both AM and PM service.  In many locations, depending on the physical size of the unit, a larger team may be necessary to expedite cleaning service.  In such case, in addition to assisting the cleaning, the butler will also act as a supervisor and inspect the cleanliness of the unit, clearly inform Housekeeping of the requested service times both for AM and PM service and advise of any preferences/special requests and amenities

  • The butler will assist the guest by filling out the list, collection from guest room and preparation for pickup.  The butler must always confirm what time the guest would like the laundry returned and be familiar with the laundry pickup/delivery times.  When the laundry is delivered, the butler should place the guest clothing appropriately in the unit

  • The butler is responsible to coordinate with the relevant department for replenishment of all consumed private bar items and the accountability of such charges to the guest account.  Make sure products are currently dated, fresh and neatly packaged

  • The butler must discuss the appropriate time on a daily basis for the delivery of the strawberries and champagne. This must be at a time and location to suit the guest

  • The expectation is that all butlers respond to guest calls for butler related services within five minutes

  • Where requested it is expected that the Butlers conduct resort tours for guests, making them interesting and informative

  • As appropriate the Butler is expected to provide tram rides to guests – driving with due care and attention

  • Collect guest preferences and provide same to Guest Recognition Specialist whilst the guest is on property. Prior to the guest arriving it is expected that the Guest Recognition Specialist will provide detailed information to the butler team
