Maintains all Sales & Marketing files leads in accordance with established hotel procedures and standards. Delivers workplace in a neat and orderly manner. Assists sales team in all administrative purposes. Responsible for providing administrative support to sales team, demonstrate high energy levels & provide consistently high levels of customer service in accordance with Four Seasons Hotels & Resorts standards and procedures.

Ideal Candidate

We are looking for individuals who possess

Maintain the strictest confidentiality on all matters relating to Four Seasons Hotels & Resorts and the hotel plus all other sales and personnel related matters.

Set up and maintain an effective filing system for the sales department.
Share daily morning reports with Sales Team
Provide administrative assistance to Sr.DOM and to provide back-up administration to the sales team. 
Take a proactive role in the maintenance and development of Golden S/C and Opera standards within the Sales Department.
Ensure knowledge and understanding of Opera, Golden S/C and all systems used from the Sales Team and adhere to Four Seasons Hotels & Resorts standards.
Take personal responsibility to ensure that Standards are maintained and the systems are utilized to its full capacity (Golden S&C, Opera, Meyer). 
Once training provided, handle sales related requests (individual or group offers, site inspections etc.) in the absence of a Sales team member.
Use Opera PMS’s rate and availability windows to share travel agency or corporate rate offer during Sales team member’s absence.
Qualify group inquiry before the offer sharing process.
Develop a good knowledge of Golden S/C and Opera PMS systems in order to be competent in checking group availability and to find the optimum group rate by using Ideas, Opera PMS.
Become functional in-group handling and resume preparation process. (Coordinate all group arrangements, process group rooming lists, confirmation letters, work with group contacts to facilitate program planning, follow up group agenda, transportation arrangements, special amenities, upgrades etc.)
Communicate group needs and specifications to all departments through group resume and additional supportive mails and participating actively in group review meeting.
Be attentive and responsive to group's needs while in hotel.
Follow-up each group with Post-Conference reports and reviews group billing.
Check all group bookings and updates bookings activity on daily basis
Responsible for ordering all stationary and administrative supplies for the Sales Department.
Take meeting minutes of sales meetings and other meetings where necessary
Take responsibility and/or support as appropriate, any departmental projects as directed by the Sr.DOS/Sr.DOM.
Review Sales Enablement Insights on daily basis to keep Golden S&C up to dated and hotel score in top ranking.
Ensure group contracts are delivered to Accounting Department on monthly basis
Ensure that team members post attrition reports on timely manner

Standard Duties:

Provide a friendly and professional service that always exceeds guests’ expectations. Undertake other duties and responsibilities, which, while outside the normal routine, are within the overall scope of the position.

Report for duty punctually wearing professional attire.

To maintain a high standard of personal appearance and hygiene and adhere to the hotel and department personal appearance standards.

To maintain good working relationships with your colleagues and all other departments through working by The Golden Rule.

To respond to any changes in the division as dictated by the needs of the industry, company or hotel.

To be flexible and extend job duties to carry out any other reasonable duties and responsibilities within the job capability as assigned, including redeployment to alternative departments/areas if required, to meet business demands and guest service needs.

Conduct and attend training sessions as outlined. Perform other tasks or projects as assigned by the Director of Marketing.

Maintains a professional appearance at all times and conducts personal behavior in a mature professional business manner when representing the hotel or company to our contacts and representatives.

Minimum of  2 years experience working as a Sales Person or equivalent experience required.

Experience in hotel operations, preferably Four Seasons or other service environments or;

Experience managing in diverse cultures.
