The Communications Coordinator act as the communication hub for the operations departments. Answers and directs phone calls, manage chat, book restaurant and spa reservations as well as assist the reservations process in an efficient, courteous and professional manner to achieve maximum customer satisfaction while complying with all Four Seasons’ policies.

Job Responsibilities:

  • Answers phone inquiries in an efficient and friendly manner, using guest names when possible and routing calls to proper extensions.
  • Ensures that all incoming chat messages are answered or routed to the correct department, as well as handle additional administrative tasks.
  • Support with providing exceptional quality service to our guests through our Chat messaging system.
  • Handles all guest interactions with the highest level of hospitality and professionalism, accommodating special requests whenever possible; resolves customer complaints; assists customers in all inquiries in connection with Internet service, telephone and facsimile services, hotel services, hours of operations, key hotel personnel, in-house events, directions, etc.
  • Utilizes and ensures proper working condition of the telephone switchboard, the hotel computer systems (e.g. property management, paging and radio systems), internet system and facsimile machines.
  • Accepts and delivers wake-up calls, messages and facsimiles in a timely manner.
  • Assists with "Do Not Disturb" requests, screening calls, "No Information" calls, busy extensions, transferring calls, call forwarding, call holding, call pick-up, and call waiting.


Preferred Knowledge, Skills and Abilities

The qualified candidate will possess the following:

  • Prior administrative/customer service experience, preferably in a luxury hotel or resort.
  • Excellent personal presentation and interpersonal skills.
  • Strong time management skills: ability to multi-task, set priorities, and adjust to changing conditions. Willing to work in a fast-paced environment.
  • Ability to operate all computer equipment necessary to perform the job; knowledge of Microsoft Software and Opera preferred/is a plus.
  • Excellent communication and interpersonal skills; ability to work closely with other departments and communicate clearly and effectively with colleagues and guests.
  • Flexible schedule; ability to work varied hours and days, including nights, weekends and holidays.
