Job Description

**Job Summary** The Telephone Operator is responsible for managing all incoming and outgoing calls efficiently and professionally. This role ensures prompt communication between guests, departments, and external callers while delivering exceptional customer service in line with the hotel's standards. The operator also handles guest requests, wake-up calls, emergency communications, and provides accurate information about the hotel's facilities and services. **Key Responsibilities** - Answer all incoming calls promptly and courteously. - Transfer calls accurately to the appropriate departments or guest rooms.

• Handle guest inquiries, requests, and complaints professionally. - Provide accurate information about hotel facilities, services, promotions, and local attractions. - Record and deliver guest messages promptly and accurately. - Schedule and perform wake-up calls as requested. - Operate the PBX/telephone system efficiently.
• Assist guests with international calls and directory assistance. - Coordinate emergency calls and follow hotel emergency procedures. - Maintain confidentiality of guest information at all times. - Log and report any telephone or communication system faults. - Support Front Office operations whenever required. - Maintain a professional and friendly telephone manner at all times.

Qualifications

• High school diploma or equivalent; a certificate in Hospitality is an advantage.
• Previous experience in a hotel Front Office or Telephone Operator role preferred.
• Good command of spoken and written English; additional languages are an asset.
• Knowledge of PBX systems, Opera PMS, or similar hotel systems is an advantage.
• Strong communication and interpersonal skills.
• Excellent customer service orientation.
• Ability to multitask and work under pressure.
