Job Summary:

The Executive Assistant to the Vice Chairman provides high-level administrative and strategic support to ensure the efficient operation of the Vice Chairman’s office. This role involves managing schedules, coordinating meetings, handling confidential communications, preparing reports and presentations, and acting as a liaison between the Vice Chairman and internal/external stakeholders. The Executive Assistant must demonstrate exceptional organizational skills, discretion, professionalism, and the ability to manage multiple priorities in a fast-paced environment.


Key Responsibilities:

• Manage the Vice Chairman’s complex diary, scheduling meetings across multiple time zones where applicable.

• Coordinate domestic and international travel arrangements, including itineraries and accommodation.

• Prepare high-quality briefing packs, board papers, presentations and reports.

• Draft and manage correspondence on behalf of the Vice Chairman.

• Screen and prioritise communications, ensuring urgent matters are escalated appropriately.

• Act as a key point of contact between the Vice Chairman and internal leadership teams, hotel general managers and corporate departments.

• Maintain strong professional relationships across the Group.

• Monitor key business metrics and provide executive summaries where required.


Requirements:

• Degree in Business Administration, Hospitality Management, Finance, or relevant professional experience in the area

• Excellent diary management skills, including coordination across multiple time zones.

• Exceptional organisational and prioritisation skills.

• Ability to work independently and as part of a team.

• Excellent written and verbal communication skills in Portuguese and English (additional languages advantageous).

• Strong problem-solving capability and sound judgement.

• Ability to remain calm and effective under pressure.

• Availability to accompany the vice-chairman on official trips.
