BRIEF PURPOSE OF POSITION
To bring discipline, structure, and accountability into Technical Services, with a primary focus on Villa Owner Works, while implementing systems and processes that standardize administrative coordination across all technical departments.
This individual will oversee the coordination of owner-related projects, maintenance requests, and works in progress, while also creating and enforcing a unified administrative and reporting framework for departments such as Water, Electrical, Golf Course Maintenance, Workshop/Fleet, and General Maintenance.
KEY DUTIES AND RESPONSIBILITIES
· Lead the coordination and tracking of all Villa Owner Works projects, requests, and maintenance items.
· Own and maintain tracking systems for work orders, service requests, and ongoing technical projects across departments.
· Follow up daily with maintenance managers, supervisors, and technicians to ensure progress and accountability.
· Prepare, track, and follow through on quotes, proposals, approvals, invoices, and related paperwork.
· Coordinate vendor scheduling, servicing timelines, procurement follow-ups, and internal deadlines.
· Attend and actively participate in daily operational and morning meetings, driving follow-up and action points.
· Consolidate and standardize administrative processes currently spread across Water, Electrical, Golf Course, Workshop/Fleet, and other technical areas.
· Create clear reporting structures and visibility on what is pending, delayed, approved, completed, or blocked.
· Develop systems, SOPs, and administrative controls to improve efficiency and consistency across Technical Services.
· Act as the administrative “control tower” for all owner works and technical coordination matters.

· Fleet or Workshop Administration
· Construction / Project Administration
· Property / Villa Maintenance Coordination
· Strong Office / Operations Management background
The candidate does not need to be technically hands-on, but should understand enough maintenance, engineering, or construction terminology to challenge excuses and drive action.
SKILLS
· Strong Excel and reporting/tracking skills
· Excellent administrative and organizational skills
· Ability to multitask across multiple departments and projects
· Strong communication and follow-up discipline
· Ability to work in a slow and fast-paced at the same time - island / remote environment
· Caribbean or island experience is an advantage, though attitude and personality are more important.
