Overview:  Provide prompt, courteous, and efficient handling of all requests for group and social group room reservations, changes, cancellations, revenue commitments, and details. Maintain balanced room inventory. Ensure guest preferences and requests are detailed and communicated to appropriate departments. Assist the Revenue Team with tracking and analyzing hotel revenue and providing data for improving revenue.

Responsibilities:

Revenue

  • Ensure that revenue management standards are maintained at a superior level daily.
  • Assist CRO/FO with revenue generating, revenue protecting, or revenue impacting decisions.
  • Liaison with Front Office team on day-to-day rate and reservation issues; Assist Reservations/Front Office teams with inventory management.
  • Assist conference service managers, sales managers, catering managers with revenue impacting decisions.
  • Charged with all group inventory maintenance and auditing (Opera, Delphi) including group reservations and reservation details.
  • Manage & control OOO inventory for the hotel.
  • Attend and maintain notes/minutes for weekly Revenue Strategy Meeting(s), either in person or via conference call, at least twice per month.
  • Ensure correct placement, rate positioning and descriptions on all distribution channels; conduct audit checks and maintain audit calendar. GDS, Expedia, Website, Voice.
  • Distribute weekly operational forecast (14 day)


Data Compilation and Analysis:

  • Understand, review, and articulate day-to-day changes in available inventory and booking pace for the hotel using business intelligence reports (RevIntel, Opera, Delphi/SalesForce, IDEAS, OTA Insight, OTA Extranets)
  • Suggest rate and/or inventory adjustments accordingly to DORM; assist with adjustments if needed.
  • Maintain technical expertise in all related systems: Revintel, IDEAS, SynXis, Opera, Excel, and other tools.
  • Create analytical, ad hoc reports as directed by the Area Director of Revenue and Director of Sales and Marketing; Review all reports for 100% accuracy prior to general release


Group Rooms:

  • Maintain complete knowledge of and comply with all departmental policies, service procedures, and standards.
  • Ensure that Forbes Five standards are maintained at a superior level daily.
  • Anticipate guests’ needs, respond promptly, and acknowledge all guests, however busy and at whatever time of day.
  • Always maintain positive guest relations.
  • Maintain all group rooms in Opera and Delphi (including catering room blocks)
  • Consistent and on-going audit of group blocks in Delphi and Opera; enter and maintain rooming lists.
  • Maintain group cut off dates. Communicate with Sales Manager and Conference Service Manager regarding cutoff dates and group wash (positive or negative)
  • Participate in weekly Resume Meetings and ensure blocks are set up with appropriate notes, routing, traces, etc., as noted on the Resumes.
  • Produce commission and attrition reports upon group’s departure.
  • Assign group rooms according to guest requests and preferences whenever possible.
  • Merge duplicate profiles and ensure that all company standards regarding the formatting of profile notes are upheld.
  • Ensure all Guest Preferences are noted clearly in group reservations
  • Maintain complete knowledge of:
    • All hotel facilities/services and hours of operation.
    • All guest room layouts, bed types, decor, appointments, and locations.
    • Room availability for any given day.
    • Restricted dates, rates, and room types.
    • All room rates, packages, and promotions.
  • Monitor, track, and advise clients and internal partners of cut-off dates and pick-up comparisons to revenue commitments – i.e., Pick-up Reports.
  • Ensure the accuracy of final pick-up within Salesforce and Opera after group departure.
  • Answer telephones using appropriate phone etiquette.
  • Coordinate tasks and work with other departments.
  • All other duties as assigned.


Qualifications:

  • Minimum two years of hotel/resort experience.
  • Hotel Front Office or Reservation sales experience.
  • Office/administrative experience.
  • Basic math aptitude.
  • Must have a warm tone of voice and a helpful attitude.

Technical Skills:

  • Experience with Opera and Delphi or similar property management systems.
  • Microsoft Word, Excel, Outlook


Education:  A college degree.

Language: Required to speak, read and write English.

Physical Requirements: Must be able to exert physical effort in transporting up to 20 pounds, endure various physical movements throughout the work areas, reach up and down, remain stationary throughout work periods, and satisfactorily communicate with guests and co-workers to their understanding.

The pay scale for this position is between $28.00 and $30.00/hour. This is the pay range for this position that the Hotel reasonably expects to pay.
