Your Purpose

The Assistance and Office Manager provides an efficient and responsive administrative, organisational and logistical service to the SVP Port Development as well as the rest of the wider office team of CTL.

Your Impact

* Working closely with the SVP Port Development, plans and coordinates his diary and keeps him well informed of coming commitments and responsibilities.
* Researches, prioritises and follows up on incoming issues and concerns in order to support the SVP Port Development, including those of a sensitive or confidential nature.
* Screens telephone calls, handles enquiries and requests from external providers and internal customers.
* Coordinates meetings and appointments. Provides liaison with IT department such as conference call set up, video calls set up and room bookings as required. Takes minutes if required.
* Produces professional documents, briefing papers, reports and PowerPoint presentations for the SVP Port Development and the management team, and maintains office systems, including data management, archiving and storage processes.
* Arranges travel and accommodation for duty trips, processes the SVP Port Development travel expenses, and carries out general administrative duties for the wider office team.
* Co-ordinates the maintenance of the premises and manages orders of stationery and other office supplies.
* Organises social/ team building events and coordinates the communication around them.

Your Journey so far

* Relevant university degree, such as Business Economics, Law, Office Management, or Languages.
* Minimum 10 years' experience, of which at least 3 years in a similar role working with executives and senior leadership

Your Essentials

* Fluent English. Any other language is an advantage.
* Computer literate, with strong knowledge of Microsoft Office - Word, PowerPoint, Outlook, Excel.
* Able to remain calm under pressure, to work with deadlines and urgent approvals.
* Confident, assertive and energetic, with outstanding interpersonal and communication skills.
* Dynamic and proactive, with excellent organisational skills, high levels of accuracy and attention to detail.
* Able to act professionally and with sensitivity, confidentiality, courtesy and discretion at all times.
* EU Passport or right to work in Switzerland.

The company

MSC Cruises has grown exponentially since 2003. In such a short time, we have built a fleet of 22 modern and most environmentally advanced ships!

With our constant expansion, our fleet will grow in capacity with the arrival of seven new ships in three different classes by 2027.
One of our latest ships – MSC World Europa – was delivered in 2022, inaugurating the World Class. It is our largest cruise ship to date, with a capacity of over 6,700 passengers, served by more than 2,000 crew members.

In 2023 we inaugurated the MSC Euribia equipped with the best and latest environmental technology and bestowed with a highly-innovative design.

In 2023 MSC Cruises entered the Luxury segment by launching its first of four Explora Journeys ships.

Recruitment Prospects
With three new mega-ships and four Luxury ships to be built and delivered between 2023 and 2027, the biggest and most important challenge for MSC Cruises is to find, recruit and train a high number of new crew members needed to provide the service, fun and safety that have become hallmarks of MSC Cruises.

This massive project is already well under way. The Human Resources Team is not only working to recruit the best talents but is also visiting our manning agencies and hiring partners around the world to ensure that the right people and facilities are in place to prepare this ‘army’ of new crew members for their life at sea.
