Job Description

To supervise personnel department administration, maintain files and records, and to perform secretarial services to departmental objectives. To provide support in a range of HR activities including in the provision of advice and support to managers on HR policies and procedures; policy development; staff induction; performance and reward and HR monitoring and reporting.

  1. Working closely with departments, increasingly in a consultancy role, assisting line managers to understand and implement policies and procedures
  2. Developing policies on issues such as working conditions, performance management, equal opportunities, disciplinary procedures and absence management
  3. Interpreting and advising on employment legislation.
  4. Assist in the design, implementation and ongoing review of HR Policies and Procedures.
  5. Listening to grievances and implementing disciplinary procedures;
  6. Performs all necessary job analysis tasks related to the preparation of Job descriptions, Job specification and determination of proper classifications.
  7. Type letters, memos, reports with instruction of HR Manager in acceptable standard of layout, accuracy and speed.
  8. To prepare monthly payroll of the section assigned on the last day of the month in reference to relevant records.
  9. To handle all recruitment, termination, leaves & payments of the section assigned. Ensure accuracy of all these records.
  10. To deal with telephone enquiries.
  11. Director of HR and Asst. HR Manager in the department and carryout any other duty directed.
  12. To observe staff proceeding for off days and all leaves and ensure accurate records are maintained.
  13. To maintain any file, logs, and folder or create any other report for the execution of the tasks assigned with the approval of department head.
  14. To maintain shift hand over information accurately.
  15. To maintain a personal folder, a monthly work plan and an organizer journal with daily and routine work assignments given and to get this signed by the Personnel Manager at the end of each day.
  16. Communicate with Human Resource Department in record keeping as required in daily, routine and monthly work.
  17. Supervision of staff welfare facilities.


 

 



Qualifications

  • Bachelor's degree in Human Resources, Learning & Development, or a related field.
  • Proficiency in English (verbal and written)
  • Previous experience preferred, minimum two years 
  • Excellent communication and interpersonal skills.
